At Rexo Green Hill Trip LLP ("Rexo Green Hill Trip", "we", "us" or "our"), the privacy of our travellers is one of our main priorities. This Privacy Policy describes the types of information that Rexo Green Hill Trip LLP collects and records, and how we use and protect it.

This policy applies when you use our website www.rexogreenhilltrip.com (the "Website"), make an enquiry or booking with us, or contact us by phone, email or WhatsApp. We are committed to ensuring that your privacy is protected, and we handle personal information in line with the Information Technology Act, 2000, the rules made under it, and the Digital Personal Data Protection Act, 2023, as applicable. By using the Website or our services, you agree to the collection and use of information as described in this policy.

1. What we collect

We may collect the following information:

  • Name and contact details – your name, email address and mobile phone number.
  • Account details – if you create an account, your login email and password (passwords are stored only in encrypted form), and any profile details or photo you add.
  • Booking details – all details of your enquiries and bookings, such as the tour package, travel dates, number of travellers, names, ages and gender of co-travellers, pick-up points, and any special requests (for example dietary, medical or accessibility needs) that you choose to share.
  • Travel documents – where required by hotels, transport operators, permit authorities or embassies, copies of identity documents such as Aadhaar, passport, visa or voter ID. Where possible, please share a masked Aadhaar showing only the last four digits.
  • Payment information – details needed to process your payment, such as the transaction or UTR reference for bank or UPI transfers, the amount paid, your billing name and your GSTIN or PAN where required. If card payments are offered, card details are processed by a secure payment gateway and are not stored by us.
  • Photos and reviews – photos, reviews and ratings that you post on the Website or send to us.
  • Your agreement to our Terms and Conditions – a record of your acceptance of our Terms and Conditions and of your marketing preferences.
  • Technical information – when you visit the Website, we automatically receive your IP address, browser and device type, the pages you visit, the referring website, and the date and time of your visit, through server logs and cookies (see section 5, "Cookies and analytics").

If you book on behalf of other travellers, such as family members or friends, please make sure they know about and agree to you sharing their details with us for the booking.

2. What we do with the information we gather

We use the information you provide to understand your needs and provide you with a better service, and in particular for the following reasons:

  • To respond to your enquiries, prepare quotations, and confirm and manage your travel bookings, including arranging hotels, transport, permits, visas, guides and activities.
  • For internal record keeping, and to create and manage your account.
  • To send you booking confirmations, itineraries, payment reminders, travel updates and other service messages by email, phone, SMS or WhatsApp.
  • To process payments and refunds, issue invoices, and meet our tax, accounting and other legal obligations.
  • To improve our tour packages, services and the Website, including understanding how visitors use the Website and customising it according to your interests.
  • To send you promotional emails and messages about special offers, new tour packages and other information we think you may find interesting, using the email address or phone number you have provided, where you have agreed to receive them. From time to time, these may include offers from carefully selected partners, which are sent by us. We do not give your contact details to partners for their own marketing.
  • From time to time, to contact you by phone or email for feedback and market research.
  • To publish reviews you submit, keep the Website secure, and prevent fraud and misuse.
  • To comply with the law, respond to lawful requests from authorities, and establish or defend legal claims.

You can unsubscribe from promotional emails or messages at any time by following the unsubscribe instructions in the message or by writing to info@rexogreenhilltrip.com. We will still send you essential service messages about your bookings.

3. Who we share information with

We do not sell or rent your personal information. We share it only as needed to provide our services, or where required by law:

  • Travel service providers – hotels, homestays, transport and cab operators, airlines, railways, local guides, activity operators and ground handlers, in India and abroad, who deliver the services you have booked.
  • Government authorities – for permits, yatra registrations, visas, immigration or police verification, where required for your trip or by law.
  • Service providers who support our business – such as website hosting, email, analytics (Google Analytics), IT support and professional advisers. They may use your information only to provide services to us and must keep it confidential.
  • Banks and payment providers – to process payments and refunds.
  • Insurance providers – if you choose to buy travel insurance through us.
  • Legal and safety reasons – where required by law, court order or a government request, or to protect the rights, property or safety of our travellers, our team or others.
  • Business changes – if our business is reorganised, merged or transferred, your information may be transferred to the new owner, who will be required to protect it in line with this policy.

4. International tours and transfers

For international tour packages, for example to Dubai, Bali, Thailand, the Maldives or Malaysia, we need to share traveller details with hotels, ground handlers, airlines and authorities in the destination country. Some of our service providers may also store information on servers outside India. Where information is transferred outside India, we do so only for the purposes described in this policy and in accordance with Indian law.

5. Cookies and analytics

Cookies are small text files stored on your device when you visit a website. The Website uses the following cookies:

6. Security

We are committed to ensuring that your information is secure with Rexo Green Hill Trip LLP. To prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect. These include encrypted (HTTPS) connections to the Website, encrypted storage of passwords, access to personal information only for people who need it, and regular backups.

However, no method of transmitting or storing information over the internet is completely secure, so we cannot guarantee absolute security. If a personal data breach affects you, we will inform you and the relevant authorities as required by law.

7. How long we keep information

We keep personal information only for as long as it is needed for the purposes described in this policy:

  • Booking, invoice and payment records – for as long as required under tax, accounting and other applicable laws.
  • Copies of identity and travel documents – until they are no longer needed for your trip, unless we must keep them longer by law or to resolve a dispute.
  • Account information – for as long as your account is active. You can ask us to delete your account at any time.
  • Marketing preferences – until you unsubscribe or withdraw your consent.
  • Enquiries that do not lead to a booking – for a reasonable period to follow up with you, after which they are deleted.

8. Your rights and choices

Subject to applicable law, you have the right to:

  • Access – ask what personal information we hold about you and how we use it.
  • Correction – ask us to correct, complete or update inaccurate or incomplete information. You can also update your account details by logging in.
  • Deletion – ask us to delete your information once it is no longer needed, unless we are required to keep it by law.
  • Withdraw consent – withdraw any consent you have given, for example for marketing, at any time. This does not affect anything we did before you withdrew it. If you withdraw consent for information we need for a booking, we may not be able to continue providing that service.
  • Grievance redressal – raise a complaint with our Grievance Officer (see below).
  • Nomination – nominate another person to exercise these rights on your behalf in the event of your death or incapacity.

To make a request, email info@rexogreenhilltrip.com with the subject "Privacy request". We may need to verify your identity before acting on it. If you are not satisfied with our response, you may approach the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.

Please provide accurate information and do not share another person's details without their permission.

9. Children

Accounts and bookings on the Website are for adults aged 18 years and above. Details of children travelling with a family or group are collected only from their parent or lawful guardian, who agrees on the child's behalf, and are used only to arrange the trip. We do not use children's information for tracking, behavioural monitoring or targeted advertising.

10. Links to other websites

The Website may contain links to other websites. Once you leave the Website, we do not have any control over those websites and are not responsible for the protection and privacy of any information you provide on them. Please read the privacy policy of each website you visit.

11. Changes to this policy

Rexo Green Hill Trip LLP may change this Privacy Policy from time to time by updating this page. You should check this page from time to time to ensure that you are happy with any changes. The "Last updated" date at the top shows when the policy was last revised. If we make significant changes, we will also let you know through the Website or by email.
